{"id":832,"date":"2013-09-30T17:04:32","date_gmt":"2013-10-01T00:04:32","guid":{"rendered":"http:\/\/ncnmlg.mlanet.org\/connections\/?p=832"},"modified":"2014-02-10T17:11:39","modified_gmt":"2014-02-11T01:11:39","slug":"ncnmlg-executive-board-meeting-minutes-september-30-2013","status":"publish","type":"post","link":"https:\/\/ncnmlg.mlanet.org\/connections\/?p=832","title":{"rendered":"NCNMLG Executive Board Meeting Minutes:  September 30, 2013"},"content":{"rendered":"<p><b><a href=\"http:\/\/ncnmlg.mlanet.org\/connections\/wp-content\/uploads\/2014\/02\/Fall-2013-EB_Agenda.pdf\">Agenda<\/a>:\u00a0 <\/b>June 24, 2013 Meeting Minutes\u00a0 |\u00a0 Quint Meeting Writing Retreat Funding Contribution\u00a0 |\u00a0 Outreach Committee\u00a0 |\u00a0 Friends of NLM\u00a0 |\u00a0 Program Planning\u00a0 |\u00a0 Schedule of Meetings\u00a0 |\u00a0 CE Committee\u00a0 |\u00a0 Quint Meeting\u00a0 |<!--more--><\/p>\n<p><b>Attendees: <\/b><\/p>\n<p>In-person:\u00a0 Raquel Abad, Chezire Aclimandos, Suzanne Beattie, Carmen Huddleston, Amy Studer<\/p>\n<p>By phone:\u00a0 Julia Hause, Deanna Johnson, Mike Liddicoat, Judith Mills<\/p>\n<p><b>Time:<\/b>\u00a0 10:30 am \u2013 11:30 pm<\/p>\n<p><b>Location:<\/b>\u00a0 Kaiser Center Tower; 300 Lakeside Drive; Room 2842; Oakland, CA; 94612<\/p>\n<p><b>Meeting recording:<\/b>\u00a0 None.<\/p>\n<p><b><i>Meeting called to order at 10:45 (approx.) by Carmen Huddleston<\/i><\/b><\/p>\n<p><b>Old Business\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><\/p>\n<p><b>1.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Minutes from the June 24, 2013 Executive Board Transition Meeting \u2013 Amy Studer<\/b><\/p>\n<p>Minutes were approved without corrections (moved by Amy; seconded by Raquel).<\/p>\n<p><b>New Business\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><\/p>\n<p><b>2.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Quint Meeting Writing Retreat Funding Contribution &#8212; Raquel Abad\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><\/p>\n<p>Is our chapter interested in contributing funds for this retreat at the Quint Meeting?\u00a0 The writing retreat has been very popular in the past and is being organized by the South Central Chapter of MLA.\u00a0\u00a0 They are looking for a splitting of costs from other chapters:<\/p>\n<p>10 attendees \/ chapter = $600 \/ chapter<\/p>\n<p>The price includes a two day program, food, handouts, and possibly ground transportation.<\/p>\n<p>The price does not include airfare or housing.<\/p>\n<p>The group discussed and came up with some questions for Raquel to bring back to the Quint Meeting Steering Committee:<\/p>\n<ul>\n<li>What is going to be presented?<\/li>\n<li>Will there be additional charges for attendees?<\/li>\n<li>For this popular workshop, who decides who gets to attend and what are the criteria?<\/li>\n<\/ul>\n<p><span style=\"text-decoration: underline\">Action item<\/span>:\u00a0 Raquel will find out more information. \u00a0NCNMLG Executive Board will vote by email, if necessary.<\/p>\n<p><b>3.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Outreach Committee Report &#8212; Julia Hause<\/b><\/p>\n<p>Do we want to purchase an NCNMLG table cover to be used for outreach events?\u00a0\u00a0 Xan Goodman provided a document with vendor quotes for a table cloth (see <a href=\"http:\/\/ncnmlg.mlanet.org\/connections\/wp-content\/uploads\/2014\/02\/Appendix-A-Outreach-Comm_Table-Cover.pdf\">Appendix A\u00a0<\/a>).<\/p>\n<p>In principle, the group agreed that purchasing a table cloth for this purpose was a good idea.\u00a0 Discussion included some questions and observations about particulars:<\/p>\n<ul>\n<li>Suzanne spoke of benefit of a full sized table cloth in order to hide supplies under the table.<\/li>\n<li>Questions:\u00a0 how do you launder, what is the fabric?<\/li>\n<li>Chezire suggested a different approach with a runner that goes on top of a plain table cloth.\u00a0 A runner may be less expensive to purchase and clean.<\/li>\n<\/ul>\n<p><span style=\"text-decoration: underline\">Action item<\/span>:\u00a0 Julia &amp; Xan will do some more investigating various options and vendors, including price.\u00a0 They will report back to the Executive Board.<\/p>\n<p><b>4.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Friends of NLM \u2013 Carmen Huddleston\u00a0 <\/b><\/p>\n<p>Is the chapter interested in providing financial support to the Friends of the National Library of Medicine?\u00a0 We received an invitation to donate, along with an invitation to the FNLM Gala Event on the east coast (see <strong>Appendices B &amp; C<\/strong>).\u00a0 The invitations arrived just before the event date, which is now passed. Carmen\u2019s feedback from group members was that $100 might be an appropriate donation amount.\u00a0 Judith suggested that we wait until next year to donate on the part of the chapter because the gala has already passed.\u00a0 In the meantime, she recommended that individuals donate if they are so moved.\u00a0 Judith offered to send the Individual Membership Form to anyone who wanted to send donations to the NLM.<\/p>\n<p>Carmen moved that we NOT donate $100 to the Friends of the National Library of Medicine this year.\u00a0 The motion was seconded by Raquel.\u00a0 There was a unanimous vote in favor of the motion.<\/p>\n<p><span style=\"text-decoration: underline\">Action Item<\/span>:\u00a0 Carmen will ask FNLM to notify us next year with plenty of lead time prior to the gala honoring donors.<\/p>\n<p><b>5.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Program Planning &#8212; Carmen Huddleston\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><\/p>\n<p>Carmen discussed NCNMLG program planning for remainder of 2013-2014 year.\u00a0 From the email member survey that was sent out on \u00ad\u00ad\u00ad\u00ad\u00adSeptember 15th, members reported that they were interested in attending programs about:<\/p>\n<ul>\n<li>library closures<\/li>\n<li>writing<\/li>\n<li>copyright<\/li>\n<\/ul>\n<p>Carmen also brought up Judith\u2019s past suggestion about the possibility of vendor support for programming.\u00a0 Judith stated that if there is any interest from the Exec. Board members, she is willing to explore the possibility further, cautioning that it is important to understand what the vendor\u2019s role and expectations are.<\/p>\n<p>Judith reported that there are two different opportunities. As a follow-up to the Spring 2013 training course that she arranged with the NLM Training Center there is a new TOXNET class.\u00a0 It is entitled: \u201cDiscovering TOXNET: From Paracelsus to Nanotechnology\u201d and offered from October 21 &#8211; November 5, 2013. Members can earn 4-8 MLA CE credits by completing the training. In addition, an all-day in person TOXNET course will be taught by the NLM Training Center in 2014 at UCSF. If interested, members should register at: <a href=\"http:\/\/nnlm.gov\/ntcc\/classes\/schedule.html\">http:\/\/nnlm.gov\/ntcc\/classes\/schedule.html<\/a><\/p>\n<p>Raquel brought up the idea of providing MLA continuing education units as part of programming.<\/p>\n<p>Carmen suggested planning a program on marketing library services to help prevent library closures at a future meeting, which led to a discussion of future meeting plans.<\/p>\n<p><b>6.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Schedule of meetings for the remainder of 2013-14 &#8212; Raquel Abad<\/b><\/p>\n<p>The group discussed timing for the next meeting of the NCNMLG Executive Board and the NCNMLG Business Meeting.\u00a0 The hope will be to include a program on marketing library services to help prevent library closures.\u00a0 The group discussed whether to hold a program in late November or December, or to wait until January 2013.<\/p>\n<p><span style=\"text-decoration: underline\">Action item:<\/span>\u00a0 Raquel will send out a survey via email about scheduling the next meetings and programming.<\/p>\n<p><b>7.\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>CE Committee for the Quint Meeting \u2013 Judith Mills<\/b><\/p>\n<p>Judith thanked everyone for submitting the surveys about the continuing education programming at the Quint Chapter Meeting.\u00a0 Respondents consisted of mostly academic and hospital librarians from all the regions of MLA that are participating in the Quint Meeting.<\/p>\n<p>Four major points emerged from the survey responses:<\/p>\n<ul>\n<li>Members are interested in technology and computer education;<\/li>\n<li>Members are interested in embedded librarianship;<\/li>\n<li>Clinical training;<\/li>\n<li>Only 1\/3 of respondents said they may attend the Quint Chapter Meeting;
